Booking Terms & Conditions
Effective Date: 8 July 2025
These Terms & Conditions apply to all quotations and bookings made through Graeme’s Travel. By requesting a quotation, paying for a holiday, or confirming a booking, you agree to these terms.
1. About Graeme’s Travel
Graeme’s Travel is an independent travel agency acting as an intermediary between customers and tour operators, airlines, accommodation providers and other travel suppliers.
When you book through Graeme’s Travel, your holiday is also subject to the terms and conditions of the relevant supplier.
2. Quotes and Prices
- All prices are subject to availability until a booking has been confirmed.
- Prices may change at any time before confirmation due to supplier pricing, exchange rate fluctuations or availability.
- A quotation does not guarantee availability or price until your booking has been confirmed.
3. Administration Fee
Graeme’s Travel charges an administration fee for arranging and managing your holiday booking.
This fee covers services including, but not limited to:
- Researching holiday options
- Comparing suppliers and prices
- Preparing personalised quotations
- Booking administration
- Payment processing
- Customer support before, during and after travel
- Documentation assistance
Administration fees are non-refundable once work has commenced unless otherwise agreed in writing.
Failure to pay an agreed administration fee by the requested date will result in the cancellation of your booking without further notice and or a charge of £100 for administrative costs. Graeme’s Travel reserves the right to cancel any booking where the administration fee remains unpaid and accepts no liability for any supplier cancellation charges, price increases or other losses arising as a result of non-payment.
3A. Quotation Validity
All holiday quotations are prepared using live pricing and availability supplied by third-party travel providers.
- Prices and availability may change at any time until a booking has been confirmed.
- Quotations are provided in good faith and do not guarantee availability or price.
- Graeme’s Travel reserves the right to refuse further quotations where multiple bespoke quotes have been requested without a genuine intention to book.
- Excessive or repeated quotation requests may require payment of an administration fee before further quotations are provided.
4. Holiday Payments
Customers must make all holiday payments by the dates specified by the tour operator or supplier.
Failure to make payments on time may result in:
- Cancellation of the holiday
- Loss of deposits
- Supplier cancellation charges
- Increased holiday costs if rebooked
Graeme’s Travel is not responsible for supplier charges resulting from missed payment deadlines.
5. Customer Responsibilities
Before confirming your booking, you must ensure:
- All passenger names exactly match passports.
- Dates of birth are correct.
- Contact details are correct.
- Special requests are advised before booking.
It is your responsibility to ensure you have:
- A valid passport.
- Any required visas.
- Any vaccinations or health documentation required by your destination.
- Complied with all entry requirements.
Graeme’s Travel cannot accept responsibility for travel being refused because documentation is incorrect.
6. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance immediately after booking.
Travel insurance should include cover for:
- Cancellation
- Medical expenses
- Lost luggage
- Personal belongings
- Travel disruption
Failure to obtain suitable insurance is entirely at the customer’s own risk.
7. Changes Requested by the Customer
If you request changes after booking:
- Supplier amendment charges may apply.
- Airline amendment fees may apply.
- Additional administration charges may also apply where permitted.
Some bookings cannot be amended once confirmed.
8. Cancellations
If you cancel your booking:
- Cancellation charges will be determined by the travel supplier.
- Deposits are normally non-refundable.
- Any administration fee already paid remains non-refundable once work has commenced.
9. Supplier Changes
Occasionally airlines or tour operators may make changes including:
- Flight times
- Airports
- Accommodation
- Room types
- Itineraries
These changes are outside the control of Graeme’s Travel.
Any compensation or refunds are subject to the supplier’s own terms and conditions.
10. Flights
Airlines may change:
- Flight numbers
- Flight times
- Departure airports
- Aircraft types
Customers should regularly check their booking before departure.
Graeme’s Travel is not responsible for airline schedule changes.
11. Force Majeure
Graeme’s Travel cannot be held responsible for events outside our reasonable control, including but not limited to:
- Severe weather
- Natural disasters
- Government restrictions
- Industrial action
- Airline disruption
- War
- Civil unrest
- Pandemics
12. Complaints
If you experience a problem while travelling, you should report it immediately to your hotel, airline or holiday provider.
If your issue remains unresolved, please contact Graeme’s Travel as soon as reasonably possible so we can assist where appropriate.
13. Data Protection
Graeme’s Travel will only use your personal information for the purpose of arranging and managing your travel booking.
Your information may be shared with relevant suppliers where necessary to fulfil your booking.
14. Liability
Graeme’s Travel acts solely as an independent travel agent.
We are not responsible for the acts, omissions or performance of airlines, hotels, tour operators or other travel suppliers.
Our liability is limited to the services we directly provide.
15. Acceptance of Terms
By requesting a quotation, paying an administration fee, paying towards a holiday, or confirming a booking, you confirm that:
- You have read these Terms & Conditions.
- You accept these Terms & Conditions.
- You accept the terms and conditions of the relevant travel supplier.
- You are authorised to accept these Terms & Conditions on behalf of all passengers included in the booking.
16. Refusal of Service
Graeme’s Travel is committed to providing a professional, friendly and respectful service to all customers.
We reserve the right to refuse quotations, bookings or future business, or to cancel a quotation or booking (where legally permitted), if a customer:
- Fails to pay an agreed administration fee or other agreed charges.
- Repeatedly requests quotations without a genuine intention to book.
- Provides false or misleading information.
- Behaves in an abusive, threatening, discriminatory or aggressive manner towards Graeme’s Travel or its representatives.
- Uses offensive or inappropriate language.
- Attempts to obtain services fraudulently.
- Fails to comply with these Terms & Conditions.
- Acts in a way that we reasonably believe may cause financial loss, reputational damage or unnecessary disruption to our business.
Where a booking has already been confirmed with a third-party travel supplier, any cancellation will be subject to the supplier’s own booking terms and cancellation charges.
17. Errors and Omissions
Whilst Graeme’s Travel makes every effort to ensure that all prices, descriptions, flight times and holiday information are accurate, occasional errors may occur.
Graeme’s Travel reserves the right to correct any genuine pricing, administrative or typographical errors before or after a booking request has been submitted. If a significant error affects your booking, you will be offered the opportunity to accept the corrected details or cancel your booking without penalty where applicable.
18. Communication
By requesting a quotation or making a booking, you agree that Graeme’s Travel may contact you by telephone, email, SMS, WhatsApp or social media messaging regarding your enquiry, booking or any important travel updates.
19. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
20. Acceptance of Terms
By requesting a quotation, paying an administration fee, making any payment towards a holiday or confirming a booking through Graeme’s Travel, you confirm that:
- You have read and understood these Terms & Conditions.
- You agree to be bound by these Terms & Conditions.
- You accept the terms and conditions of the relevant travel supplier(s).
- You confirm that you are authorised to accept these Terms & Conditions on behalf of all passengers included in the booking.
